The Enclosing Operative is responsible for operating and supporting automated enclosing equipment to ensure personalised and non-personalised mailings are assembled accurately, securely, and in accordance with job specifications, quality standards, and data protection requirements.
The role is critical to maintaining client confidence, data integrity, and regulatory compliance within a direct mail production environment.
Please note this role requires someone to have experience within Direct Mailing and you would also be willing to work night shifts as the working hours are 9pm to 6am- Monday to Thursday
Key Responsibilities
Machine Operation
- Set up and operate enclosing and inserting machines.
- Load printed materials, inserts, envelopes, and consumables correctly.
- Adjust machine settings for format, thickness, fold type, and pack configuration.
- Monitor runs to maintain accuracy, integrity, and output efficiency.
- Clear stoppages and perform basic troubleshooting.
Job Setup & Control
- Interpret job bags, works instructions, and Sample Enclosing Packs (SEPs).
- Confirm correct version control of inserts and personalised components.
- Verify batch quantities and reconcile output counts.
- Ensure correct window alignment for addressed mail packs.
Quality & Accuracy
- Conduct first-off and in-process checks.
- Confirm pack configuration matches client specification.
- Monitor integrity cameras or barcode readers where installed.
- Segregate and report non-conforming or damaged items.
- Complete production records accurately and in real time.
Data Protection & Security
- Maintain strict control of personalised data.
- Prevent mixing of batches or versions.
- Follow documented secure handling procedures.
- Report data incidents immediately in line with company policy.
- Adhere to GDPR and ISO 27001 controls.
Maintenance & Housekeeping
- Perform routine cleaning of enclosing equipment.
- Assist with basic preventative maintenance.
- Maintain tidy, organised and safe workstations.
- Dispose of spoilage securely and in accordance with waste procedures.
Health, Safety & Compliance
- Operate machinery in line with PUWER regulations.
- Follow manual handling guidelines.
- Use appropriate PPE.
- Report hazards, near misses or unsafe conditions.
Working Hours 9pm to 6am- Monday to Thursday
